We are based in Portugal and aim to process only the personal data that is necessary to operate Authorloom, communicate with users, provide contracted services, meet legal obligations and run the business lawfully.
1. Data Controller
For the purposes of the General Data Protection Regulation (GDPR), the data controller for Authorloom is Authorloom Lda. We will update this policy with full company and registered address details when they are available.
2. Personal Data We Collect
Depending on how you use Authorloom, we may collect:
- identity details, such as your full name and pen name;
- contact details, such as your email address;
- account details, plan, subscription status, credits and usage information;
- marketing preferences, newsletter consent and waiting-list consent;
- support messages and correspondence;
- book, author brand and campaign materials you upload or ask us to process;
- connected account metadata needed to operate integrations you authorise;

3. How We Collect Data
We collect data when you:
- join the waiting list or submit a form;
- create or use an Authorloom account;
- connect Google Drive or another third-party integration;
- upload or provide book, author, campaign or social media materials;
- contact us for support;
- visit our website or interact with analytics and marketing tools.
4. Why We Use Personal Data
We use personal data to:
- provide, operate and improve Authorloom;
- manage the waiting list, beta access, accounts, plans and credits;
- send confirmation emails, service messages and support replies;
- process content, generate campaign assets and deliver files you request;
- operate Google Drive and other authorised integrations;
- send newsletters and marketing updates where you have consented;
- protect the Services against spam, abuse and security threats;
- measure website performance and understand which campaigns are working;

5. Lawful Bases Under GDPR
Where GDPR applies, we rely on the following lawful bases:
- Contract: to provide the Services you request and manage your account.

6. Google Drive Data
If you connect Google Drive, Authorloom may access files, folders, metadata or permissions that you authorise, only to provide the requested integration and related Services. This may include retrieving selected assets, organising campaign materials, delivering generated files, or supporting workflows you request.
We do not sell Google Drive data. We do not use Google Drive data for advertising. We do not use Google Drive data to train general AI models. We only use and share Google Drive data as needed to provide the Services, comply with law, protect users, or work with trusted service providers acting on our behalf.
You can revoke Authorloom's Google Drive access through your Google account settings. If you revoke access, Google Drive features may stop working.
7. Email, Captcha, Hosting and Analytics Providers
We use trusted service providers to operate Authorloom. These may include website hosting, email delivery, spam prevention, analytics, payment processing, storage, support and infrastructure providers.
Our website currently uses tools such as Resend for email delivery, Google reCAPTCHA for spam protection, Vercel or similar hosting infrastructure, and marketing or analytics pixels such as TikTok Pixel. These providers may process limited technical and usage data according to their own terms and privacy policies.
8. Cookie Declaration
The following declaration is generated by Cookiebot and lists the cookies and similar technologies currently detected on the Authorloom website.
9. Marketing Communications
We only send newsletters or marketing updates where you have opted in or where we are otherwise allowed to contact you by law. You can unsubscribe from marketing emails at any time. Service emails, such as confirmations, account notices, security alerts and support replies, may still be sent where needed to operate the Services.
10. Sharing Personal Data
We may share personal data with:
- service providers who help us operate Authorloom;
- professional advisers, such as accountants, lawyers or insurers;
- payment and billing providers where paid services are used;
- authorised team members or agency users connected to your account;
- law enforcement, regulators or other parties where required by law;

We do not sell your personal data.

Waiting-list and marketing data is kept until you unsubscribe, ask us to delete it, or we no longer need it. Uploaded content and campaign materials are kept for as long as needed to provide the Services or as agreed with you.

We use reasonable technical and organisational measures to protect personal data. No online service can be guaranteed completely secure, so you should use strong passwords, keep your connected accounts secure and contact us promptly if you suspect unauthorised access.
14. Your Rights
Depending on where you live, you may have rights to access, correct, delete, restrict or object to our processing of your personal data, request portability, withdraw consent, and complain to a supervisory authority.
